Cancellation & Refunds Policy
Effective date: 7 September 2025 · Applies to purchases made on trade.nilespectra.com.
1) Overview
This policy explains how cancellations and refunds are handled for fees paid to NILE SPECTRA™ for access to the Global Trade Platform (“GTP”) and related programs (including the International Trade Fair 2025).
Platform Fee, not a subscription: Access is provided under a one-time platform fee for the selected term (e.g., 1 month or 12 months). It is not a recurring subscription, and there is no auto-renewal. To continue access after the term ends, a new platform fee payment is required.
2) Key Definitions
- Platform Fee: One-time access charge for the chosen term covering platform activation, product placement options per plan, e-bidding access level, and standard support. Taxes, logistics, certifications, and third-party services are excluded.
- Activation Event: First occurrence of any one of these: (i) KYC approved, (ii) any product listing published, (iii) RFQ/e-bidding participation, or (iv) catalog/booth content made visible to buyers.
- First-time user promo: “Pay for 1 month, get 3 months access” (non-transferable; applies to first-time users only).
3) Cooling-off & General Eligibility
- Cooling-off (7 calendar days): If no Activation Event has occurred, you may request a full refund of the platform fee within 7 days of payment. Payment-gateway/bank charges (if any) may be non-refundable.
- After Activation: Once activated, platform fees for the current term are non-refundable.
- Promo periods: If the 3-month promo has been applied or used, fees are non-refundable except during the cooling-off window and only if no Activation Event occurred.
4) Plan-specific Rules
A) Starter / Standard & Growth / Pro
- Monthly or Annual term: One-time platform fee for the selected term. No auto-renewal.
- Refunds: Eligible only within cooling-off (no Activation Event). After activation, fees are non-refundable.
- Upgrades: You can pay the difference to move to a higher plan; previously paid fee remains applied—no refunds on downgrades.
B) Enterprise
- Enterprise engagements may include a non-refundable onboarding/implementation fee and a Statement of Work (SOW).
- Before kickoff (no custom work started): up to 80% refund of amounts paid, less payment-gateway/bank charges.
- After kickoff/custom work: fees are generally non-refundable. Where feasible, unused components may be converted to service credits (case-by-case).
5) International Trade Fair 2025 (ITF 2025)
Scheduled: 15 September 2025 to 9 October 2025 (24 days), hosted digitally on the GTP.
- Participant cancellation by you:
- ≥ 30 days before start: 80% refund
- 15–29 days before start: 50% refund
- < 14 days before start: No refund
- Event postponed by organizer: Your choice of full credit for the rescheduled dates or a refund (minus any non-recoverable gateway/bank charges).
- Event cancelled by organizer: 100% refund of the ITF-specific fee (or equivalent credit), excluding optional third-party add-ons.
- No-show / partial participation: Non-refundable.
Note: ITF fees are separate from your plan’s platform fee unless explicitly included in your plan’s benefits.
6) Payments, Gateways & Processing Time
- Payments are processed via secure gateways (e.g., Cashfree). Refunds, where approved, are issued to the original payment method.
- Processing times depend on your bank/gateway and typically take 5–15 business days after approval.
- Gateway/bank charges, currency conversion differences, and applicable taxes may be non-refundable unless required by law.
- Chargebacks or suspected fraud may result in immediate access suspension pending investigation.
7) How to Request a Cancellation/Refund
Please email support@nilespectra.com from your registered address with:
- Business name and registered email
- Order/Payment ID, date, and amount
- Plan (Starter/Growth/Enterprise) or ITF participation details
- Reason for cancellation/refund and any supporting files
We’ll acknowledge your request within 2 business days and communicate next steps.
8) Third-Party Services & Compliance
NILE SPECTRA™ acts as a facilitator. Legal procedures, certifications, logistics, and financing are executed by registered partner agencies and regulated institutions under their respective terms. Fees paid to such third parties follow their own cancellation/refund policies.
9) Force Majeure
We are not liable for delays or non-performance due to events beyond reasonable control (including acts of God, regulatory changes, cyber incidents, or widespread outages). Where possible, we will offer rescheduling or credits.
10) Changes & Governing Law
We may update this policy from time to time. The version posted on this page is the current version. This policy is governed by the laws of India, without prejudice to mandatory consumer protection rights in your local jurisdiction.
